Privacy Policy

1. Information we collect

Information you provide

• Community introductions: your name, email address, community role, optional city, and optional message.
• Donations: your selected amount and frequency. Stripe or PayPal collects payment details on its systems. We may receive a transaction identifier, status, amount, contact details, and other information needed to reconcile the donation; we do not receive your full payment-card number.
• Communications: information in messages, requests, corrections, or other correspondence you send us.
• Accounts, when available: account identifiers and profile details such as name, email address, and profile image. If you choose social sign-in, we receive only the information the provider makes available with your permission.

Information collected automatically

Our servers and hosting providers may process IP address, request date and time, pages or API routes requested, referring page, browser and device type, operating system, language, and error or security events. We use this information to deliver, troubleshoot, protect, and measure the basic operation of the Service.

Public-source information

The event catalog contains information from event organizers, community members, and public sources. It may include organizer names and public business or community contact details, source links, and verification history. We do not intentionally publish private home addresses when a location should remain private.

2. How we use information

We use personal information to:

• operate, maintain, and provide the Service;
• review introductions and respond to community members;
• process, reconcile, and support donations;
• create and secure accounts when account features become available;
• verify, correct, and preserve the event catalog;
• detect abuse, enforce our Terms of Use, and protect safety;
• understand and improve performance and usability;
• comply with law and establish, exercise, or defend legal claims; and
• send service or policy notices and, only with any consent required, marketing.

Where a law requires a legal basis, we rely on performance of a contract, legitimate interests in operating and securing the Service, compliance with legal obligations, and consent where applicable. You may withdraw consent at any time, without affecting earlier processing.

3. How we disclose information

We may disclose information to:

• Service providers: companies that host, secure, maintain, or support the Service, including Google Cloud.
• Community operations: introduction details are delivered through Telegram to a private channel available to authorized Sabantuy Club personnel.
• Payment providers: Stripe or PayPal when you choose to donate.
• Sign-in providers, when enabled: Google, Apple, or Meta when you choose that provider. The provider also processes your interaction under its own privacy policy.
• Analytics and advertising providers, if enabled: Google or Meta may receive device, cookie, usage, and advertising information as described in an updated notice and subject to applicable consent and opt-out controls.
• Legal and safety recipients: authorities, advisers, or affected parties when reasonably necessary to comply with law, protect rights or safety, investigate misuse, or enforce agreements.
• Business transaction recipients: prospective or actual parties to a financing, merger, acquisition, reorganization, or sale, subject to appropriate confidentiality protections.

We may disclose aggregated or de-identified information that cannot reasonably be linked to you. We do not publish community introductions or use them for a newsletter unless we separately ask for permission.

4. Cookies, analytics, and advertising

Essential storage may be used to keep the Service secure and remember necessary settings. We do not currently use Google Analytics, the Meta Pixel, or similar analytics or advertising technologies.

If we enable them, those technologies may collect online identifiers, IP address, device and browser information, referring URLs, pages viewed, interactions, and approximate location. We will identify the technologies in use, explain their purpose, update the “last updated” date, and provide consent or opt-out controls where required. Where applicable, we will also recognize legally required browser signals such as Global Privacy Control.

5. Sale, sharing, and targeted advertising

We do not currently sell personal information for money or share personal information for cross-context behavioral or targeted advertising. We also do not knowingly sell or share the personal information of anyone under 16.

Some privacy laws define “sale” or “sharing” broadly enough to include disclosure through advertising pixels even when no money changes hands. If our future use of Google or Meta tools qualifies, we will provide a clearly labeled privacy-choice mechanism before or when that use begins.

6. Retention

We keep personal information only as long as reasonably necessary for the purposes described in this Policy, including to provide the Service, maintain catalog provenance, resolve requests, prevent abuse, meet accounting or legal obligations, and establish or defend claims. Retention depends on the type and sensitivity of information, our operational need, and legal requirements.

We generally retain account information while an account is active; introduction and correspondence records while needed to respond and maintain the relationship; payment and transaction records for legally required accounting periods; and security logs for a limited period appropriate to investigation and prevention. Backup copies may remain until securely overwritten in the ordinary backup cycle.

7. Your choices and privacy rights

Depending on where you live, you may have rights to access, obtain a copy of, correct, or delete personal information; restrict or object to processing; withdraw consent; opt out of sale, sharing, targeted advertising, or certain profiling; and appeal a decision about your request. You may also have a right to complain to your local data-protection authority.

To make a request, email contact@sabantuy.club with the subject “Privacy request.” Describe your request and the email address or account involved. We may ask for information reasonably necessary to verify your identity and authority. Authorized agents may submit requests where permitted by law. We will not discriminate against you for exercising a privacy right.

We currently apply access, correction, and deletion requests to users generally, even where a specific privacy law does not require it, subject to legitimate legal, security, archival, and operational exceptions.

8. International data transfers

We are based in the United States, and we and our providers may process information in the United States and other countries whose data-protection laws may differ from those where you live. Where required, we use an approved transfer mechanism and appropriate safeguards for international transfers.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed for the nature of the information we process. No system or transmission is completely secure, so we cannot guarantee absolute security. Please do not send sensitive personal information through free-text forms.

10. Children

The Service is for a general audience and is not directed to children under 13. Children under 13 must not create an account or submit personal information. If you believe a child under 13 provided personal information to us, contact us so we can investigate and delete it as appropriate. Parents and guardians may contact us about a child’s information using the address below.

11. Third-party links and services

The Service links to organizer pages, registration sites, social networks, payment providers, and other third parties. This Policy does not cover services we do not control. Review their privacy policies before providing information.

12. Changes to this Policy

We may update this Policy as our Service and legal obligations change. We will post the revised Policy, change the effective date, and provide additional notice if a change materially affects your rights or if law requires it.
